Privacy Notice

Under the European 2018 General Data Protection Regulation (GDPR) you, as a client, have specific rights. To communicate these rights to you in a clear and concise manner, I am providing you with this Privacy Notice.

I am committed to safeguarding and protecting your information.  If I ask you for any information it will only be used in accordance with this Privacy Notice.  I may change this Privacy Notice from time to time, by updating this page in line with the legislation. This Privacy Notice is effective from 25 May 2018.

By continuing to use my website ayaxleycounselling.com or making initial contact with me by phone or email, you are accepting and consenting to the practices described in this policy.

Personal Data

Any personal data you share with me, including your name and contact details, will be held securely. I use this information to provide a counselling service and to run and maintain my business. I will not share this information with any other person, save where you indicate that you or someone else is at risk of significant harm, in which case I reserve the right to contact a GP or other appropriate support services if I deem it appropriate. I provide detailed information about this at a first counselling appointment or on request.

Cookies

My website uses Squarespace.org which uses cookies to help identify and track visitors and their website access preferences. Visitors to ayaxleycounselling.com who do not wish to have cookies placed on their computers, should set their browsers to refuse cookies before using the website.

Although my website aims to include only quality, safe and relevant external links, I cannot guarantee or verify the content of any externally linked websites and you will be using such links at your own risk. I cannot therefore be held responsible for the protection and privacy of any information which you provide when visiting such sites and these sites are not governed by this Privacy Notice.

Retaining your personal data

I will retain personal data for the duration of my work with you and for a period of 7 years after our work has ended. If you make initial contact with me but do not go on to attend counselling sessions, I will delete your information after one month.

Information I collect: I store your name, telephone number and email address and other personal information that you provide to me. I will also write brief notes of our sessions.

How I store information: I keep brief handwritten notes of our therapy sessions. These are stored in a locked cabinet that is in turn in a cupboard and are destroyed seven years after your therapy sessions end unless agreed otherwise. Any information stored online will be kept securely on a password protected computer in a password protected file. Your contact and appointment details will be kept for seven years after your therapy sessions end and then destroyed unless agreed otherwise. Any emails, texts, WhatsApp, messenger messages or other communications will be deleted no later than 90 days after receipt unless they form a part of your notes in which case they will be kept for seven years. Your telephone number will be stored on my mobile phone under your initials and will be deleted once I am no longer working with you. If I change my phone then all your details will be deleted on my old phone. I use a digital diary to organise my appointments, in this I use only your first name. 

How I use this information: I will use your contact details to engage in my work with you according to my contract with you including contacting you about appointments, keeping records such as appointments, running and maintaining my business. I also keep brief notes of therapy sessions in order to support me in offering you therapy. I will not use contact information or your session notes for any purpose other than in this notice and my contract. If for any reason I am asked to provide a report of the sessions - eg at your request then this will be sent to you, password protected for your approval before it is provided to the person requesting it. It will also be stored for a period of 7 years.

Your rights

You have the right to access the personal data that I hold about you at any time, to be kept informed of the way your personal data is processed and to have your personal data corrected or erased. You have the right to withdraw your consent to any aspect of the use of your personal data set out in this Privacy Notice at any time.

Please let me know in writing, if you want to access or have your personal data corrected or erased and I will respond to your request within thirty days.
